  1.  Financial Statement

Geoff circulated a new Financial Statement – DD to post to Website. 

  1.  The Event

Geoff Cousins to purchase name tags.  We are going to use just the names as the photos did not come out very well. 

DD has ordered balloons for the event in red, grey and white, 3 dozen. 

BL contacted live duo, unfortunately one of them is on holiday so cannot book them. 

Event discussed in detail: 

Booked lunch for 10 for 1.00 pm.

Main event to meet at Woodlands at 3.00 pm

Judith will head up the move to the school and find the caretaker who will unlock the building for us at around 3.30

3.45pm walk around the school

4.00pm  Steve Laity to take a photo (his camera, maybe Debby’s husband Alan can take the photo so Steve is in it).

5.00pm Bar open at the Woodlands

7.00pm Buffet booked for 35 people the £9.00 per head menu

7.30 Quiz – Ian to contact Andy Dungate and make sure all is prepared

Cake and a few words from Ian – Jane to email Sharon and ensure cake is organised

Background music – Judith to bring along her CD Player – Geoff to bring his speakers and his wife’s CD collection

12.00 am – Finish 

Mike has photocopied each of the magazines, 20 copies of each can be taken by the attendees. 

Debby has printed the school photo in A3 size, these can be taken by the attendees.

The balloons will be tied down with chocolate bars and these can be taken at the end of the evening. 

DD will bring along a video. 

Geoff to organise some flowers – ask Woodlands when they ring or get something for the table on the day. 

IJ to ask Christine Smith if she could put the event in the local paper. 

DD to print out a poster saying that we have gone to the school.

3.      The Event

Geoff Cousins to purchase name tags.  DD might be able to cut out photo of each person from old school photo, DD to locate as many people as possible and liase with GC.  GC to send electronic copy of the finances to DD.

BL to contact live duo to see if they are available and how much they would be. 

4.      Contacts

Cards have been put into local Supermarkets and will be updated again. 

Everyone needs to keep chipping away at known contacts. 

IJ has phoned as many as possible of the contacts found by DD and will complete the phoning, found one person from the list so far. 

IJ will try and contact Richard Madden at Essex Police Station. 

DD to try and get permission to publish the photo of Roly Edwards, via Christine Smith. 

5.      AOB 

DD brought along a couple of photos of A3 size, and some A4, for the group to decide which size are required for the event, the group were divided and so both sizes will be printed.  Copies of the photo can be ordered on the day. 

DD will bring along a video camera on the day. 

MW will photocopy the school magazines for display at the event, copies can be ordered on the day. 

IJ to contact Andrew Dungate about the Quiz. 

IJ to contact Steve Laity to confirm that he can take the photograph. 

Decision on champagne will be made at the next meeting, may ask if champagne can be ready and decide on the day.

2. Financial Statement

GC submitted latest statement, it will be sent to DD to publish on the website, Total in so far c. £380.

 

4. The Event

IJ was under the impression that KB had agreed to do the photo.  Others felt that maybe he wouldn’t want to.  Steve Laity (SL) offered his digital camera (5 megapixcels? Is ‘mega’ a million? Lots, anyway).

 

IJ to liaise with KB & SL & finalise.

 

GC confirmed that PL was in receipt of the contract, which GC had told him to go ahead & sign.

 

JB questioned whether it was worth having a disco – a number of people had indicated they wouldn’t dance. JB suggested having background music instead. All agreed, with some amusement that it had taken us all this time to get things confirmed, only to decide we didn’t want one anyway!

JB to contact Woodlands to see if there's a sound system available.

GC said he had a large CD library, the contents of which could be used.  Various people said they could make equipment available.  JR offered her Grandaughter's Karaoke machine.  Final decision next meeting after JB's spoken to Woodlands.

 

Disco cancelled.

 

GC Doubtful whether PL would agree to sing – AD to liaise with PL.

 

It was felt that we maybe able to throw the photo in for the £10.  JR has been in touch with school re access.   No response received as yet.  JR to chase.

 

Decision on champagne will be made at final meeting to be held at the Woodlands.

 

Andy Dungate has emailed to say the questions are ready, MW to review.

 

Large copies of photos to decorate the room, DD has sent these to PL but he has not received anything.  DD to telephone to confirm email address, hopefully will be resolved before next meeting.

 

5. Contacts

All agreed we need a final push on the contacts we have made to firm up commitment and secure payment.

 IJ to arrange meeting in Maidstone area with Clive Williams & Rols Edwards, GC will attend (as will DD probably).

 KB & DW to try to get firm commitments from those who have not firmed up as yet.  GC to supply a list of names, divided into those who have paid and those who havn't.T

 MW obtained a copy of Roly Edwards photo, DD seeking permission from Newspaper to see if we can use it on the website.

Financial Statement

We need to get some more people committed to coming to the event, there are a lot of promises, GC sent a copy of the invitation letter to go out asap. MW to organise by the end of the weekend.

The Event

Disco confirmed as Stan Lee King’s Disco – PL has booked it.

GC has found some name tags, IJ to ask him to purchase them DD can print some stickers to go on the tags, these can be prepared in advance for everyone that has paid.

Cards have been put into local Supermarkets and will be updated again.

Everyone needs to keep chipping away at recruits, Nag, Nag, Nag some will come along with enough persuasion.

Some progress has been made in contacting people, Peter Gibson has a CD with information which has proved in part to be successful.

Will give up trying to find Alan Morgan.

DD found a BT CD from 1999 and found a contact address and phone number for most of the missing male students, IJ to phone as many as possible and the remainder DD will do a mail shot.

JB to contact Glenda Osmotherly again.

Roly Edwards has been photographed making an award from the local football team, MW tried to get a copy of the photo but has had trouble will try again.

Looked again at the rooms in the Woodlands. Rang Paul Lawrence he gave us a new email address DD to send a copy of the school photo in the hope he can print a large copy. They would be displayed in the outside room.

DD made larger copies of the school photo, if Paul cannot make them poster size DD can print them A4 but split the photo up further to make the image bigger.

Decided balloons would be good for the decoration MW to find out the cost.

DD to update website with write ups from Friends Reunited for anyone that appears on our list.

Found out the prices of the champagne they have a wide range from around £44 down to £15. Have to see the number of attendees before we can commit.

1. Actions from Last Meeting Actions discussed and list updated. See attached. Most are still ongoing. It was agreed to email again all names on Friends Reunited, Mike Wilson is still a fully paid up member.

2. Financial Statement GC stated we have a balance of some £180.

Disco not confirmed as yet.

GC had prepared a financial statement that was shown at the meeting. An electronic copy will be sent to DD to post on the web. It was agreed that a letter should go out asking for the £10 to ensure the numbers that will attend. DD to make up a letterhead and GC to help with the content, MW will then send it out.

A local charity has not yet been nominated.

3. The Event

JR wrote to the school to find out if they would let us do a tour on the day and have our photo taken outside The secretary (Janet Trevor) said that it should be possible and that she would be in contact nearer the time. We would not be able to go all over the school, as there are several sets of keys.

Name tags to be organised for the event GC to try and find something suitable.

Andy has a database with several thousand questions, he will tailor something to our year, he would like to use someone as a sounding board, nominated MW as he will not be at the event.

Offer copy of the original school photo and the new one - small charge, orders can be taken at the event.

Judith written to Helena Parrish, and to Valerie Blackman via Helena. Other names mentioned were: Richard Couldridge - Geoff not sure where to start. Keith Burchett - Geoff in contact John Sharp - Geoff in contact Glenda Osmotherley - traced as a result of P Gibson's CD. No contact as yet.

Glenda Osmotherly has been found - she is currently in Darenth Valley Hospital, recovering from Pneumonia - DD to organise a card from the committee.

Roly Edwards has been photographed making an award from the local football team, MW to try and get a copy of the photo.

Dave Philliskirk emailed our website - IJ has replied, not heard from him since. IJ to contact KB to find more addresses for teachers, and then distribute this and put the information onto the list of contacts.

5. AOB

Mike Wilson cannot make the event as he has booked a holiday in Canada, he will continue to support the event we will miss him at the event.

Need to discuss decoration of the rooms at the next meeting so will ask to view the rooms when we are there.

8. Date of Next Meeting

The date of the next meeting is to be maintained as 12th February, but 11th has been reserved in everyone's diaries in case IJ has to attend a course. It was agreed that the next meeting will be held at The Woodlands Andrew Dungate will join us at the next meeting.

It was agreed that we will need another meeting before the event as at present there are only 2 left !! Suggested 5th March.

Forth Meeting Minutes:

 2.  Financial Statement

Action 14,15 & 16 – GC prepared a financial statement, which was given out at the meeting.  An electronic copy will be sent to DW to post on the web.  GC emailed everyone asking for their £10, no response to date.

A local charity has not yet been nominated. 

3.      Publicity

Action 2 & 3 – IJ arranged an article in the Gravesend Messenger.

MW has some contacts and will make some enquiries.  Some local Radio stations have been approached but they will only put out publicity nearer to the date of the event.  MW to contact New Shopper, Kentish Times, Kent Messenger Group for Hartley & Longfield.  MW have a contact Jim Fry from friends reunited which he will send to IJ.  PB has an email contact.  IJ asked if the date of the event could be published on the Home Page of the website DW to action.

 4.      Website

 Action 5 & 12 – DW has set up the web site.  Three old magazines have been found and published along with some photos and details of the event.  DW asked that everyone thinks about content that could be add to the website, profiles, articles other memorabilia bits.  IJ or MW to send copies of the questionnaire to DW for consolidation of statistics.

 5.      Contacts

Action 1, 4, 18, 19 & 21 – There has been slow progress in tracking people down.  Mrs. Ramsey went into the school but was denied access to any records.  GH is not willing to make the journey to UK from Australia.  Alan Morgan has not yet been contacted, not given up hope.  KB has been informed that accommodation will not be funded.

 IJ stated that there are not many weeks between now and the event if we are to contact as many people as possible there must be a big effort to contact at least two people per week.  A list of 12 were put together as a target before the next meeting.

  The database prepared by MW does not agree with the spreadsheet prepared by IJ or the table on the website.  JB & IJ to forward all the details they have to MW.   MW  and DW to agree the list and keep the details in sync.  IJ suggested emailing everyone that we have as contacts and asking that if any of them are registered that they email out to people who have not responded from the friends reunited website, this way they might respond to someone.

 6.      Xmas Event

Action 22 - We took the opportunity of booking an Xmas meal at the Darnley Arms on Wednesday 4th December 7.30pm for 8pm.  We anticipate approximately 20 people.  The Landlady gave us a copy of the menu.  DW to email copy to GC, who will issue an invite to all contacts asking for £20.00. The meal costs £15.50, additional amount to cover drink. 

7.  The Main Event

Action 13 & 17 – The disco had not yet been booked GC had not been able to contact PL.  GC will contact him or arrange another disco before the next meeting.  No progress on approaching the school but we are sure that KB will take the photo.  Did not feel that we had much time to organise anything about the event until we are a bit more confident about how many people will attend.  Andrew Dungate is prepared to MC a quiz.

 8.       Date of Next Meeting

The next meeting date was to be 20th November.  However the venue for the next meeting is to be changed to The Queen’s Arms in Egerton Forstal near Headcorn as this pub belongs to Andrew Dungate.   Transport will be organised by GC.  As this venue is further out for people the date is to be changed to 22nd November.

Third Meeting Minutes:

Minutes from Meeting of St Georges Golden Years Celebrations On Wednesday 28th August 2002 At Darnley Arms, Cobham

1.              Apologies for absence:  Paul Lawrence, he is finding it difficult to attend the meetings but is willing to help from the sidelines.  Mike Wilson could not attend this meeting.  Brian Lipscombe was assumed to be on holiday.  Phil Barnes has not made a meeting yet but was heavily committed elsewhere until July.

2.              Matters Arising:  Paul Lawrence has found a disco that he knows for £180. although he feels he could get them down to £150 for a firm booking, which is cheaper than normal.  All agreed this should be booked.  GC to contact PL and ensure it is booked.  A deposit may be required GC will organise.  JB has booked the Woodlands and paid a deposit with the Woodlands with the number of people who have already committed and paid for the event plus Jayne’s own contribution, plus some money from the May get together whip this deposit has been covered.  IJ put together a draft press release for the local newspaper this was given out for comment.

3.        Finance   GC agreed to prepare a financial statement for the next meeting.  a.  Getting in the money GC is going to circulate an email asking for the £10 per head contribution towards the event to cover all costs, partners are welcome, at the same rate.

b.   Dealing with any surplus – it was agreed in principle that any surplus money would be donated to a Gravesend local charity.  Details to be decided at a later stage. 

4.              Photo   It was felt that a new school photo would be a good thing to have and that Keith Bartle would be able to take the photo.  The school should be approached for permission and it would be taken on the day of the event, in the same location if possible.  People would be asked to take up their position with the same people either side of them as far as was practicable.

5.             Air Miles - IJ has 1,000 air miles that he is happy to donate towards overseas air tickets for ex pupils who have gone to live abroad.  IJ found out that it is possible to put air miles together from anyone.  The only person contacted from Overseas currently is Gillian who has gone to Australia, JB is find out if she would be interested in attending the event to see if this would be of benefit to her.  Alan Morgan is another person who went to Australia and at present he has not been contacted.  The issue of air miles is to be left until we are sure there is a need for them.

6.                  Website – DW has registered stgeorges-goldenyears.co.uk as a name for the website.  The objective of the website is to publicise the event, give people interest and act as a point of contact.  The duration will be September 2002 until July 2003 and DD is happy to administer it for this period of time.  It has been registered via DW’s husband and the registration and hosting will be free for this period.  After July 2003 the website will be closed down and handed over (if wanted) to anyone else who would like to take it forward.

 The content of the website was discussed and DW had prepared an overview.  The number of hits and photos from the May event were added to the content of the site.

7.             Teachers – Keith Bartle has done a brilliant job in contacting:

 Derek Culley, Brian Arundel, Jim Fry and Mrs. Fry, Michael Charles and Mrs. Charles (Gorringe), Dave Moss and Mrs Moss (May), Mr. Allen, Mr. Barclay, Mrs. Ramsey (School Secretary).  The following have not yet replied Mr. Baron, Mr Butcher and Dr. Ashbee.  Also Miss Wood and Mr. Jones may be available subject to their health. 

 A few extra teachers were identified during the meeting:

 Keith had suggested that we could book anyone travelling at our expense. However, it was agreed not to do this, at this stage, the financial situation of the whole event is unclear.

 8.             Tracking Everybody Down – This has not been very successful over the last month.  There have been lots of interest and possible promises but only one more positive has been added to the list.  A more concerted effort must be made over the next month with a more definite commitment.  This is to be monitored next meeting with more specific actions allocated if necessary.

 9.      Dates of Next Meetings: A six week gap between meetings was agreed upon making the next meetings up to the event on 9th October, 20th November, 8th January, 12th February and 26th March.  The next meeting was agreed to be held at the Darnley Arms in Cobham again.  These will be published on the Website.  If more meetings are felt necessary nearer the time these will be organised on an “as needed” basis.

 10.        AOB – A Christmas event was suggested possibly a drink at the Woodlands so that anyone who did not want to attend a party could come along.  Also, anyone who would like to make contact first before the party could come along and meet up with each other, date to be agreed at the next meeting.

 Phil Barnes wife works at the school, if Phil cannot attend the next meeting JB to find out if his wife could attend, as she will be able to find out the information for us.

 4.             The Event

 a.    When  IJ had received enough feedback to put forward last weekend in April.  Date will be around 27th to be confirmed, this is the weekend after Easter Monday. 

b.    Where -  Basic agreement that it would be Gravesend.

Many venues discussed.  Whilst at Woodlands the group took the  opportunity to look at the available space here.  Woodlands have a first floor with three rooms, one suitable for discussion (bar style), one suitable for a Disco, one suitable for food to be laid out.  There is a bar in the main room.  Cost £120 to hire the space for the whole day, this would also give us a barman to serve drinks.  Buffet food starts at £5.25-£12 per head.

 Everyone can put forward suggestions any more can be considered at next meeting.

c.     Content and Duration - IJ had feedback to suggest that people attending the reunion would have liked longer to talk to people.  Many have to travel to come along to an event in Gravesend.

 Would therefore like to have an event that goes from midday to evening.  Agreed that if this were the case the committee members would need to attend all day.

 Discussed type of event, evening to be “party” possibly with 60’s, and 70’s theme disco.

 Afternoon event possibly sports event, football, cricket, golf.

 Would like to include photos displayed round the room.  Try and get hold of bits of uniform etc. to decorate the room.

 Cake would be good in shape of 50.  IJ to approach Sharon Snow

Any available talent from the committee or other people attending the event would be good GC,  PL, & BL  may be willing to put together a “turn”.

 BL – knows a good duo that we could hire – BL to find out more information.

 d.    Title - No title agreed upon but all agreed it ought to have

Gold, or Golden as part of it.   St. Georges Gold, St. Georges Go for Gold, etc.  Everyone to have another think and maybe we can get all to vote on a name.

 5.             Finance  

Discussed financial risk to committee members, no conclusion,  will discuss again once more information about the potential venues are known.  Need to keep the financial risk as low as possible.  GC is to be Treasurer.

 6.             Directory

MW is to set up a database of the information collected. 

 Discussed distribution of the accumulated information.  Agreed that only name and email at most would be used, any additional information such as address and phone number would be kept by the committee members only.

7.             Any Other Business

 Discussed inviting Teachers – Everyone to come up with any teacher’s names and contacts that can be remembered.
